# Issue fiscal receipts

> Issue a fiscal receipt from an order or for many orders, follow it to the printer, and settle one the station could not confirm.

An order gets one fiscal receipt. You issue it from the order's **Fiscal receipt** section, or for several orders at
once from the **Orders** list. Omnilinker builds the receipt from the order, sends it to the fiscal printer through its
station, and shows the receipt number on the order once it has printed.

Before you start:

* You need the **Issue and withdraw receipts** permission; see [Permissions](/fiscalization/overview#permissions).
* At least one fiscal printer is set up; see [Fiscal printers](/fiscalization/fiscal-printers).
* Choose the station you work at with **Choose station** in the top bar. Omnilinker uses it to choose the printer; see
  [Which printer prints the receipt](#which-printer-prints-the-receipt).

## Issue a receipt for an order

<Steps>
  <Step title="Open the order">
    Open **Sales** > **Orders** and open the order. Click **Issue receipt** in the order's header, which takes you to
    the **Fiscal receipt** section, or scroll to it.
  </Step>

  <Step title="Check what the customer gets">
    **The customer gets** says **The receipt.** ("In the parcel, or as an e-receipt. No invoice."), or **An invoice by
    e-mail.** ("The receipt stays with you, filed with the invoice copy."). See [Who gets what](#who-gets-what).
  </Step>

  <Step title="Check the printer, the form and the NIP">
    * **Printer**: the fiscal printer that will print the receipt.
    * **Receipt as**: **Paper** or **E-receipt**, starting from the location's setting. Click the other to change it
      for this receipt. A receipt kept with an invoice shows "Paper, kept with the invoice. Not in the parcel".
    * **NIP**: the buyer's NIP that goes on the receipt, or **None given**.
  </Step>

  <Step title="Read the warnings and look at the receipt">
    Warnings appear above the button; see [Warnings](#warnings). Click **See the receipt first** to see the receipt as
    it will print: its lines, discounts, VAT, total and payment.
  </Step>

  <Step title="Issue it">
    Click **Issue receipt ·** followed by the amount. "One receipt per order. Later reprints are copies that aren't
    fiscal."
  </Step>
</Steps>

If the order changed since the receipt was shown, Omnilinker refuses: "Order #… changed since its receipt was shown.
Look at the receipt again before issuing it."

The order's header button shows how the receipt stands: **Issue receipt**, **Receipt under way**, or the receipt's
number, for example **Receipt 743**, once it has printed.

### Who gets what

| The order | The receipt | The customer gets |
| - | - | - |
| No invoice | **For the customer**: on paper in the parcel, or as an e-receipt. The buyer's NIP goes on it if they gave one and the location says so. | The receipt. |
| An invoice to a private buyer | Always on paper, **kept with the invoice**: you file it with the invoice copy. | An invoice by e-mail. |
| An invoice to a business (the invoice has a NIP) | None. The section says "Invoiced to a business." See [Orders invoiced to a business](#orders-invoiced-to-a-business). | The invoice. |

An e-receipt needs a printer with an e-receipt service and an e-mail address on the order. Without either, the receipt
prints on paper and a warning says why.

### Warnings

| Warning | Meaning |
| - | - |
| "The invoice has a company name but no NIP, so the buyer is treated as a private person." | Without a NIP the buyer is not a business, so the receipt is kept with the invoice. |
| "The order has no e-mail address, so the receipt prints on paper." | An e-receipt needs the buyer's e-mail address. |
| "The printer has no e-receipt service, so the receipt prints on paper." | The chosen printer cannot send e-receipts. |
| "This order is invoiced to a business. The receipt carries its NIP and is kept with the invoice." | You chose **Issue anyway**. |
| "The receipt total differs from the order total. Check the lines before issuing." | The lines add up to another amount than the order asks for, for example when only part was paid; the receipt always records the whole sale. |
| "Lines at no charge (gifts, samples) are left off the receipt: a fiscal printer does not record a sale worth nothing." | Free lines are not printed. |
| "This order was paid in more than one way (for example card and cash). …" | The receipt records the whole amount under the main payment form, so the printer's totals by payment form differ from what was taken. |

When the printer's way of working out VAT gives a slightly different total, the section says "The receipt differs from
the order by …: the printer's way of working out VAT. The receipt is the record."

### What goes on the receipt

* Each product line, with its name as on the order. Characters the printer cannot print lose their accent or are left
  out, and a name longer than the printer takes is cut.
* Discounts, spread over the goods at the same VAT rate.
* Delivery, as a line called "Dostawa" with its rate, for example "Dostawa 23%". It takes the VAT rate of most of the
  goods.
* One payment: the form most of the order was paid with, worked out from the order's payment method, such as card,
  cash or transfer. Cash on delivery, an unpaid order and a method Omnilinker does not recognise count as other.
* A last line with the order number. A receipt kept with an invoice says which order's invoice it goes with.

Each line's VAT rate needs a letter on the printer; see [VAT rates](/fiscalization/fiscal-printers#vat-rates). Reverse
charge and not-subject lines cannot go on a receipt.

## Which printer prints the receipt

Omnilinker takes the first that applies:

1. The **Fiscal printer** of the location of your station (the one you chose in the top bar), when that printer is in
   use and still at one of the location's stations.
2. The one fiscal printer at your station.
3. The one fiscal printer at your station's location, or, if your station has no location, the one fiscal printer of
   your organization.
4. With no station chosen, the one fiscal printer of your organization.

Only printers that are **In use** count. When none of these gives exactly one printer, the section says "Choose a
fiscal printer for this receipt." You cannot pick a printer on the order yet: set the location's **Fiscal printer**,
or choose the station you work at. See [Receipt settings for a location](/fiscalization/fiscal-printers#receipt-settings-for-a-location).

## Follow the receipt

The section, the chip on the order and the receipt on the **Orders** list show the receipt's status:

| Status | Meaning |
| - | - |
| **Waiting for the station** | Issued; the station takes it within seconds. You can withdraw it. |
| **Printing** | The station has sent it to the printer. The number shows as soon as it has printed. |
| **Waiting for the printer** | The printer could not take it now; the reason is shown, for example "The printer is out of paper". It prints by itself when the printer is ready. You can withdraw it. |
| **Printed** | Printed, with its number. On the **Orders** list it shows as **Receipt** and the number. |
| **Refused by the printer** | The printer refused it and recorded nothing. Fix the reason and issue it again. |
| **Not sure it printed** | The station lost the answer while the printer worked on it. Someone settles it; see [Not sure it printed](#not-sure-it-printed). |
| **Not printed** | It did not print. Issuing it again is safe: it cannot make a duplicate. |
| **Cancelled** | Withdrawn before it reached a printer, or a test receipt voided. |

A receipt on a test printer also carries **Test**.

### Withdraw a receipt

While a receipt is **Waiting for the station** or **Waiting for the printer**, it has not reached a printer. Click
**Don't issue it** and confirm. The order can get a receipt again later.

If the station took it at the same moment, Omnilinker says "Its station took it or answered for it at the same moment.
Reload to see how it stands now."

### A printed receipt

The section shows **No.**, **Printer**, **When**, **Receipt as** and **Amount**. Click **View receipt** to see the
receipt as printed and what happened to it, step by step.

### A receipt kept with an invoice

A receipt kept with an invoice does not go in the parcel. Once it has printed, the Station app at the station of the
person who issued it (or, without one, at the printer's station) asks someone to take it from the printer and file it
with the invoice copy; see [A receipt to keep](/devices/station-app#a-receipt-to-keep). The order then says "Filed
with the invoice copy at the desk (…)". **Fiscal** > **End of day** counts the day's receipts kept for invoices.

### Refused by the printer

The section says which printer refused it and why, and "Nothing was recorded on the printer." Fix the reason, for
example add paper or map a VAT letter, then issue the receipt again from the same section.

## Not sure it printed

When the station loses the printer's answer while it is printing, the receipt becomes **Not sure it printed**. The
station first tries to settle it by itself from the printer's counters. Until someone settles it, no other receipt is
issued for the order, so it cannot print twice.

You need **Settle "not sure" receipts**.

<Steps>
  <Step title="Open it">
    On the order, click **Settle it**. The dialog shows what the printer reported **Before sending** and **After it was
    back**: **Last receipt number**, **Receipts finished**, **Receipts cancelled** and **Last receipt's total**, and
    what the counters say.
  </Step>

  <Step title="Look at the printer">
    Look for the amount on the paper roll around the time it was sent, or print the last receipts from the printer's
    memory.
  </Step>

  <Step title="Answer">
    * If it printed, type the number in **It printed, as receipt number** and click **Mark as printed**.
    * If it did not, click **It didn't print**. The order can get its receipt again.
    * **Leave it for now** closes the dialog.
  </Step>
</Steps>

A number that another receipt of the same printer already has that day is refused: "Receipt … of … is already
order #…'s in that day's sales. Check the number on the paper roll."

### When the station disagrees

If the station later proves from the printer's counters that a receipt ended otherwise than it was settled, the order
and **Needs you** on **Fiscal** > **Overview** say so. The receipt stays as it was settled:

* Settled as not printed, but it printed: if it was issued again, the sale may be in the printer twice. Check the
  printer's memory with your service company.
* Settled as printed, but it did not print: the sale may not be in the printer. Check the printer's memory, and issue
  it again if it is missing.
* Settled with another number: check the printer's memory for which is right.

## Orders invoiced to a business

An order whose invoice has a NIP needs no receipt. The section says "Invoiced to a business." Issue one only if your
accountant asked for it: click **Issue anyway** and confirm. You need **Issue a receipt for an order invoiced to a
business**. The receipt then carries the business's NIP and is kept with the invoice.

## Test receipts

A receipt on a test printer records nothing. It carries **Test**, and **View receipt** shows it marked "TEST · NOT A
FISCAL RECORD". To give the order a real receipt later, click **Void test receipt** on the printed test receipt and
confirm.

## Issue receipts for many orders

<Steps>
  <Step title="Select the orders">
    On **Sales** > **Orders**, tick the orders.
  </Step>

  <Step title="Issue">
    Click **Issue N receipts** in the bar above the list and confirm. Each order gets a receipt, one after another in
    the list's order. The printer is chosen as for **Issue receipt** on the order, from the station you chose in the
    top bar; see [Which printer prints the receipt](#which-printer-prints-the-receipt). The button counts
    "Issuing … of …".
  </Step>
</Steps>

You can issue up to 50 receipts at once; with more orders selected, the button is disabled, and hovering over it
shows "At most 50 orders at a time." When every order got its receipt, Omnilinker says how many were issued.
Otherwise it lists each order it skipped with the reason, for example an order that already has a receipt or is
invoiced to a business. Bulk issue never issues a receipt "anyway", and shows no preview.
