# Fiscal receipts

> How Omnilinker issues Polish fiscal receipts for orders on your fiscal printers, what you need before you start, and the Fiscal overview page.

Omnilinker can record an order's sale on a Polish fiscal printer and give the buyer the receipt (paragon fiskalny),
on paper or as an e-receipt. You issue the receipt from the order. The fiscal printer is connected to a station, a
Windows PC running the Omnilinker Station app, which sends the receipt to the printer and reports back how it ended.
At the end of each day with sales, the printer closes the day with a daily report.

<Warning>
  The station's drivers for Posnet and Novitus printers have not been verified on real printers yet. Until they are, a
  station reads a real fiscal printer (its model, VAT letters, check and test page) but does not record a sale on it:
  a receipt sent to it ends as **Refused by the printer**, and a daily report as **Failed**, with "The printer's driver
  is not verified on hardware yet, so the station only reads it". A test printer, which the station simulates, goes
  through the whole flow and records nothing.
</Warning>

## How it works

| Term | What it is |
| - | - |
| **Fiscal printer** | A Posnet or Novitus fiscal printer that a station reaches over the network or a USB or serial cable. You add it to the station in Omnilinker. See [Fiscal printers](/fiscalization/fiscal-printers). |
| **Test printer** | A printer the station simulates. Its receipts go through every step and are marked **Test**, and nothing is recorded anywhere. Use one to try the flow. |
| **Station** | The Windows PC whose Station app talks to the fiscal printer. The same stations print shipping labels; see [Devices and printing](/devices/overview). |
| **Location** | A group of stations. A location decides which fiscal printer prints the receipts issued at its stations, and whether they go on paper or as e-receipts. See [Receipt settings for a location](/fiscalization/fiscal-printers#receipt-settings-for-a-location). |
| **Receipt** | One per order. It is built from the order's lines, delivery and payments, and stays with the order. See [Issue receipts](/fiscalization/receipts). |
| **Daily report** | The printer's close of a day of sales. It is needed on every day with sales and cannot be undone. See [End of day](/fiscalization/end-of-day). |

A receipt goes through these steps:

1. Someone clicks **Issue receipt** on an order, or issues receipts for several orders from the **Orders** list.
2. The station of the chosen printer takes the receipt, usually within seconds, and sends it to the printer.
3. The printer prints it, and the receipt number appears on the order. If the printer cannot take it now (out of
   paper, for example), the receipt waits and prints by itself when the printer is ready.
4. At the end of the day, the printer's daily report closes the day: automatically at the hour you set, or by hand
   from **Fiscal** > **End of day**.

Fiscal printers record PLN only. An order in another currency cannot get a receipt.

## Before you start

* Fiscal receipts are switched on for your organization; see [Switching fiscal receipts on](#switching-fiscal-receipts-on).
* At least one paired station, on a PC that can reach the fiscal printer. See [Add a station](/devices/stations#add-a-station).
* A Posnet or Novitus fiscal printer, fiscalised and with your VAT rates programmed, connected to the shop's network or
  to the station's PC by a USB or serial cable. A USB printer needs its maker's driver on that PC.
* The permissions you need; see [Permissions](#permissions).

## Set up fiscal receipts

<Steps>
  <Step title="Add the fiscal printer to its station">
    Open **Devices** > **Stations**, expand the station whose PC talks to the printer, and click **Add fiscal printer**
    under **Fiscal printers**. **Add fiscal printer** on the **Fiscal** > **Overview** page takes you there too. See
    [Add a fiscal printer](/fiscalization/fiscal-printers#add-a-fiscal-printer).
  </Step>

  <Step title="Check its VAT letters">
    Once the station has read the printer, open its **VAT rates** tab and check that each of your rates has a letter.
    See [VAT rates](/fiscalization/fiscal-printers#vat-rates).
  </Step>

  <Step title="Check the printer">
    Open the **Check** tab to see paper, connection, fiscal state and clock, and print a test page. See
    [Check a printer](/fiscalization/fiscal-printers#check-a-printer).
  </Step>

  <Step title="Decide how each day closes">
    A new printer closes its day automatically at 21:00. In the printer's settings, change the hour under **At**, or
    clear **Close the day automatically** to run the daily report by hand. See [End of day](/fiscalization/end-of-day).
  </Step>

  <Step title="Set the location's receipt settings">
    In **Devices** > **Stations** > **Locations**, choose the location's **Fiscal printer**, how to **Send receipts as**,
    and whether **The buyer's NIP on the receipt**. See
    [Receipt settings for a location](/fiscalization/fiscal-printers#receipt-settings-for-a-location).
  </Step>

  <Step title="Choose a station on each computer">
    Everyone who issues receipts picks the station they work at with **Choose station** in the top bar. Omnilinker uses
    it to choose the printer. See [Choose your station](/devices/choose-station).
  </Step>
</Steps>

## The Fiscal overview page

Open **Fiscal** > **Overview** to see your receipts and printers today. The page refreshes by itself every 30 seconds.

### Needs you

**Needs you** appears when a receipt needs a person, with how many there are. Each line names the order and the
printer, shows the amount and the reason, and has **Open the order**:

| Line | What to do |
| - | - |
| "Not sure the receipt for #… printed on …" | The station lost the answer while the printer worked on it. Settle it on the order; see [Not sure it printed](/fiscalization/receipts#not-sure-it-printed). |
| "The receipt for #… is waiting for …" | The printer could not take it now. It prints by itself when the printer is ready; the reason says what to fix. |
| "… refused the receipt for #…" | The printer refused it and recorded nothing. Fix the reason, then issue it again from the order. |
| "The receipt for #… did not print on …: issue it again." | Issue it again from the order; it cannot make a duplicate. |
| "The receipt for #… on … was settled as …, and its station says …" | Someone settled the receipt one way and the printer's counters later showed otherwise. Check the printer's memory; see [When the station disagrees](/fiscalization/receipts#when-the-station-disagrees). |

Receipts that are not sure come first, then those waiting, then the rest, oldest first. The list shows up to 50.
Refused and not-printed receipts stay for 7 days, until the order gets a new receipt.

### Today

**Today** counts, across all printers, the receipts **printed**, the **e-receipts**, the receipts **waiting** and those
**refused**, and the gross amount **on receipts today**. "Today" is your organization's day, in its time zone (Polish
time unless your organization has its own).

### Fiscal printers

One card per fiscal printer (a switched-off printer only on a day it has receipts or a report): its name and model (**Not read yet** until the station has read it), **Test** for a test
printer, its health, today's receipts printed, today's gross and the receipts waiting, and how its day closes, for
example "Daily report automatic at 21:00" or "Day closed: daily report … at …". With no printer yet, the page says
"No fiscal printers yet. Add one to a station on the Stations page."

| Health | Meaning |
| - | - |
| **Ready** | The station read the printer within the last 15 minutes, and it is ready. |
| **Needs attention** | The station reached the printer, but it is not ready: out of paper, cover open, busy, or an error. Hover over it to see the printer's state and when it was checked. Receipts waiting for it print by themselves once it is fixed. |
| **Offline** | The station could not reach the printer. |
| **Not heard from** | The station has not read the printer for 15 minutes. Stations read their printers every 5 minutes, so the station's PC or its app may be off. |
| **Not read yet** | The station has not read the printer since it was added. |
| **Switched off** | The printer's **In use** is cleared: it issues nothing and its station does not read it. |

## Permissions

The permissions are in the **Fiscal receipts** group in the role editor. See
[Users and roles](/administration/users-and-roles).

| Permission | Lets you |
| - | - |
| **Receipts** | See **Fiscal** > **Overview**, the **Fiscal receipt** section of an order and the receipt on the **Orders** list. |
| **Issue and withdraw receipts (shows any order's lines, buyer NIP and e-mail)** | Issue receipts, from an order and in bulk, and withdraw one that has not reached a printer. It shows what the receipt would say for any order, so give it only to people who may see every order. Needs **Receipts**. |
| **Issue a receipt for an order invoiced to a business** | Click **Issue anyway** on an order invoiced to a business. Needs **Issue and withdraw receipts** too. |
| **Settle "not sure" receipts** | Settle a receipt the station could not confirm. Needs **Receipts**. |
| **Fiscal printers** | See the fiscal printers at each station, their details and check, and each location's receipt settings. |
| **Manage fiscal printers (add, move, settings, test pages; the station connects to any address typed)** | Add, change, move and remove fiscal printers, choose their VAT letters, print test pages, and change a location's receipt settings. The station connects to whatever address is typed, inside your network. Needs **Fiscal printers**. |
| **Search a station's ports and network for fiscal printers** | Use **Find on …** when adding a printer. Needs **Fiscal printers**, and **Manage fiscal printers** to open the form where the button is. |
| **End of day** | Open **Fiscal** > **End of day**. |
| **Run daily reports** | Run a daily report by hand, and say whether a report that may have run did. Needs **End of day**. |
| **Station app (fiscal)** | Nothing for people. |

The Stations page also needs the **Stations** permission, and the location settings the **Locations** permission; see
[Devices permissions](/devices/overview#permissions).

<Warning>
  Never grant **Station app (fiscal)** to a person or to a role people have. Omnilinker gives it to each station's own
  account when the station is paired.
</Warning>

An API key can never hold **Issue a receipt for an order invoiced to a business**, **Settle "not sure" receipts**,
**Manage fiscal printers** or **Search a station's ports and network for fiscal printers**: they are for people at the
screen. It cannot hold **Station app (fiscal)** either. See [API keys](/administration/api-keys).

## Switching fiscal receipts on

Fiscal receipts are one feature, **Issue fiscal receipts for orders**, in the **Fiscal receipts** group. It is off by
default. When it is off, the **Fiscal** menu, the order's receipt section and the fiscal printers on the Stations page
are hidden, the Fiscal pages say "Fiscal receipts are not switched on for you.", and no daily report runs. The same
message shows when the feature is on but you lack the permission for the page. Omnilinker switches features; see
[Modules and feature availability](/administration/features).

Fiscal receipts work with orders and stations, so the order management and stations features must be on too. See
[Why a module is missing](/get-started/navigation#why-a-module-is-missing).

## What is not available yet

* Automations cannot issue receipts. Receipts are issued from the order or in bulk from the **Orders** list.
* There is no list of all receipts. Each order shows its own; **Fiscal** > **Overview** shows what needs you.
* Choosing a different printer for one receipt. The printer comes from your station and its location; see
  [Which printer prints the receipt](/fiscalization/receipts#which-printer-prints-the-receipt).
* Setting a product's name for receipts. A receipt uses the line's name as it is on the order; to change it, edit the
  line on the order. See [Edit or remove a line](/sales/orders#edit-or-remove-a-line).
* Printers from makers other than Posnet and Novitus, and currencies other than PLN.
